How to put “swim up” kids in relays

When you add relays, if you check the box that says “Show Swim Up Athletes” itll let you put the younger kids in relays.

I get there by going to meets, entries, entry by event - in Team Manager.

Creating a report for the newspaper

Open the meet database in Meet Manager. You can get the meet database via a USB thumb drive at the meet, or look on the meet databases page.

Click Reports, then click Results.

On the results screen, go down to the bottom on the Columns/Format tab and select AP News. Leave the format options unchecked, Athlete ID to None and Time Stamp to Date/Time.

On the Include in Results tab, uncheck everything in the “Include in Results” box, check “Combined” in the “Include Team Scores” box.

On the Splits/Sort Order/Selected Teams tab, click None in the Splits box, Event # order in the Sort Order box and Selected Teams in the Selected Teams box. When you click “Selected Teams”, a list will come up. Check the box next to your team so that you only get results for the paper for your swimmers, then click the red X on that screen to return to the results page.

In the Rounds box at the top right side, click Finals Only and Indiv + Relays.

On the session list, click next to the line with “All” on it.

Up at the top, click Select All.

Click Create Report. A results.txt file will be created that you can email or cut and paste into an email for your newspaper or other media.

 

2008 Meet Databases

NOTE: These databases are only for use with the meet program. Its a waste of time to download them otherwise. If you are looking for results that you can view without the HyTek meet program, see 2008 Meet Results.

Right click and click SAVE to download these files. DO NOT click OPEN. You will open these files using Meet Manager, so when you save them, save them in C:\swmeets.

If you use the file shown for YOUR meet to run YOUR meet, the pool records from your 2007 meet will still be here and you wont have to re-enter them. You may have to enter the Fed records, but those are few and far between and you will know about them when the Fed secretary emails them to you. Most of them are up to date and I am working on getting them all up to date so anyone can import them.

Be sure to click Reports, Records and click Update Records (then OK the update) before printing your program so that the records are up to date for your pool.

Making entries in the team program

If the host team provided an entries file, download it, then click File, Import, Meet Events. Doing this will create an entry in the meets list for the upcoming meet.

Click Meets and highlight the meet you are making entries for.

Click Entries up at the top and click pre-enter athletes.

Choose the kids who are going to the meet (this will make it a little bit faster later - though it may only speed it up for bigger teams).

Then click the lower of the 2 X’s in the right corner. This will take you back to the meets list.

Click Entries, then entry by event.

Set the team at the top (”swim for team”) via the drop down list.

For Relays

Select the event at the top. The program will automatically display only the kids who qualify for that event (which saves everyone time later - as long as the gender and ages are right).

Click the New Relay button (itll add A, then B and so on.

Highlight A or B or whatever in the relay list at right, then click the entrd column for each swimmer in that relay.

For individual events:

Select the next event at the top that you want to put people into by clicking on the event (or use the left/right big black arrows at the top to choose the event).

The swimmers that qualify to swim in the highlighted event appear at the bottom.

Check the Entrd box to put them in that event.

When you are done, click the big black up arrow.

To print a report, click the Meet Entries button at the top.

To print a spreadsheet type list, click the Meet Entries SS button at the top.

To create the entry file, click file, export, meet entries. Then email the file it creates (it’s a zip file) to the team computer jockey in the town hosting the meet.

Creating a meet in the team program

Before you can create entries, you have to enter a meet (may as well do them all at once).

Click Meets, then click the Add a new meet button at the far left of the toolbar (or click Add on the menu).

Set the course type to the proper course (S - short course meters, or Y - short course yards).

Set the meet type to AG (age group).

Set the fees if you want a preview of the cost - I don’t know what the fees are this year.

Do this for each meet.

After the meet

After the meet - and once the scoring has been done (please dont go there before this) - you’ll be able to get the meet MDB from whoever is running the computer in the scoring trailer.

I usually do this for CFST and will post it here when I get home. HOWEVER, there are no guarantees, so I suggest that you send someone with a thumb drive to the scoring trailer so that you are assured youll get the file in a timely manner.

Once you have the meet mdb file and get home, you can open it in Meet Manager and export the results. The results can then be imported into Team Manager which will update your swimmers’ seed times.

You can also produce reports for the newspaper, website, etc.

Submitting entries

In the team software, once you are done creating the entries, click file, export, meet entries.

It’ll create a file called <teamabbreviation>-ZZ-Entries001.zip. usually in the c:\TM5Data folder.

For CFST, the file is called CFST-ZZ-Entries001.zip. For Choteau, it would be CHOT-ZZ-Entries001.zip (and so on).

Email that file to the meet’s computer person in the town hosting the meet and they can import this to setup the entries.

2007 Meet databases

These can be opened by your Meet Manager software.

You can export the times for your swimmers and import them into Team Manager so that seed times are updated, among other things.

IMPORTANT: You MUST right click on these and click Save As to save these .mdb files to your computer. DO NOT click RUN when you download them.

Starting the season

All teams,

I have updated the Western Divisional laptop with the current version of Meet Manager, with a new version of the anti-virus software, and with the appropriate Windows updates.

Regarding the Meet manager software: It says licensed to CFST because that’s whose CD I upgraded it with, but don’t worry about that. We’re covered because every team bought a license and there is no need for each of us to reinstall it on the same laptop every weekend. If anyone from HyTek calls and gives you any grief, please contact myself or Ron and we’ll explain the situation. THERE IS NO NEED to reinstall the meet software every week just to get your team name on the screen.

The team manager disk that you received in the mail is for your COACH. If you haven’t been using this already, you’ll find it pretty easy to use. If you need the events, you can put them in yourself, but that’s a pain. I don’t recommend it.

To import the events:

Download this event file, save it to a place on your computer where you can find it easily.

In team manager, click file, import, meet events, and select the MeetEvents.zip file that you downloaded.

To import your athletes from last year’s teams:

Get your swimmers from the appropriate link below (ie: download the file and save it where you can find it).

In team manager, click file, import, athlete rosters and select the file you downloaded.

These roster files from the 2007 Divisionals can be imported into your new Team Manager software, which the coach can use to make and send entries for each meet.

Obviously, youll have to delete kids who aged out and add new kids. You will also have to age up the kids, which I did not do. The age up date is 1/1/2008, team manager does this for you if you tell it which date to use.

To save the file on your PC, RIGHT CLICK and click SAVE AS, name the file roster.hy3 and save it in your c:\swmeets folder. Then open team manager and click file, import, athlete rosters and select the roster.hy3 file.
